How We Work
From Inquiry to Delivery — A Clear, Managed Process
Six proven steps that take your product from concept to certified shipment. Every stage managed by our Singapore team, on your behalf.
Inquiry & RFQ Submission
Your journey begins with a Request for Quotation (RFQ). Tell us what you need — bag type, quantity, target price, market, and any OEM/ODM requirements. The more detail, the better our response.
We review your RFQ within 24 hours and respond within 48 hours with a sourcing proposal, including recommended factory options, initial price ranges, and timeline estimates.
- Submit via our online RFQ form or email
- Include: product type, quantity, target price, market, timeline
- Attach reference images or tech packs if available
- Response within 48 hours with factory shortlist
Factory Matching
We match your requirements against our network of 120+ vetted factories in Malaysia, Vietnam, and Indonesia. Factory selection is based on product expertise, certification eligibility, capacity, price, and quality track record.
You receive a factory profile for your top 2–3 matches, including audit results, past product samples, and CPTPP/FTA certification status.
- Factory matched to your specific product category
- Audit reports and certification status shared
- Video factory tour available on request
- You approve the factory before sampling begins
Sample Development
Once the factory is approved, sample development begins. Our team coordinates all communication with the factory — in Bahasa, Vietnamese, or Mandarin — and translates everything into clear English updates for you.
Samples are shipped to you for review, typically within 2–3 weeks of design finalisation. We guide you through the approval or revision process.
- Pre-production sample developed within 2–3 weeks
- Sample cost typically USD 80–200 (credited to bulk order)
- Up to 2 revision rounds included
- Photo and video updates throughout sample process
Price Negotiation
With approved samples in hand, we negotiate final bulk pricing, payment terms, and production timeline with the factory. As your agent, we leverage our long-term factory relationships to achieve the best possible terms.
You receive a formal quotation and pro forma invoice with all costs itemised — no hidden fees.
- Final unit pricing confirmed after sample approval
- Volume discount tiers presented
- Payment terms: 30% deposit, 70% before shipment
- Pro forma invoice issued for bank transfer or L/C
Production & Quality Control
After deposit payment, production begins. Our QC team conducts two inspection rounds: an in-line check at 50% completion and a comprehensive final inspection before shipment.
You receive QC reports with photographs and measurements after each inspection. Any issues are resolved before the balance payment is requested.
- In-line inspection at 50% production (photographic report)
- Final pre-shipment inspection (AQL standard)
- Measurement spec compliance check
- Packaging and labelling verification
Shipping & COO Certificate
Once QC is approved and balance payment is received, we coordinate shipping. We work with trusted freight forwarders for both FCL and LCL sea freight, as well as air freight for urgent orders.
Critically, we issue all required trade certificates — including Country of Origin — to ensure your shipment qualifies for CPTPP, ASEAN FTA, or other preferential duty rates at your port of entry.
- Sea freight (FCL/LCL) and air freight options
- Country of Origin certificate issued (Form D, CPTPP Form, or GSP)
- Commercial invoice, packing list, bill of lading provided
- Shipping tracking updates until delivery

Process FAQs
Questions About Our Sourcing Process
How long does the entire sourcing process take?
From first inquiry to goods on a ship: typically 14–16 weeks. This includes 2–3 weeks for sampling, 1–2 weeks for approval and order confirmation, 7–9 weeks for production, and 1–2 weeks for final QC and shipping. Air freight can reduce the last stage to days.
Do I need to visit the factory?
No. We act as your on-the-ground team in Southeast Asia. Factory visits are welcome but not required. We provide video factory tours, photo updates throughout production, and detailed QC reports — all without you leaving your office.
What if the samples don’t meet my expectations?
We include up to two rounds of sample revisions at no additional charge. If samples are still not satisfactory after revisions, we will re-match you with an alternative factory at no cost. Your sample payment is only credited to a bulk order you’re happy to proceed with.
Can I use my own freight forwarder?
Yes. You can use your own freight forwarder on an FOB basis, and we will co-ordinate handover at the factory loading port. We can also arrange freight on your behalf on a CIF or DDU basis if preferred.
What certifications do I need to claim preferential tariff rates?
This depends on your destination market and the factory’s country. For CPTPP benefits, you need a CPTPP Certificate of Origin. For ASEAN FTA benefits, a Form D certificate. For GSP benefits, a Form A. We identify which certificate applies to your order and issue the correct documentation.
